This website is operated by Steve Bracknall / Royal Oak FC, United Kingdom. For the purposes of UK data-protection law we are the “data controller,” which means we decide how and why your personal information is processed.
2. What information we collect and where it comes from
We collect only the details we genuinely need to run the club, the pub and this website. That information can include:

contact details you type into forms (name, email, phone)

information in emails or Cameo briefs you send us

delivery addresses and order information when you buy merchandise (processed by our kit partner)

voicemail recordings and caller ID if you ring one of the Royal Oak numbers advertised on the site

newsletter preferences if you tick a sign-up box

technical data such as browser type, pages visited and rough location, gathered by cookies and server logs
We never knowingly collect data from children under 13. If you are under 13 please ask an adult to help.
3. How we use your information
We use your personal data for the following purposes, relying on the legal grounds in brackets:

to reply to messages, booking requests or Cameo briefs (legitimate interest)

to process and deliver merchandise orders (contract)

to send newsletters, raffle alerts and other marketing you have opted into (consent)

to record entertaining voicemails and occasionally share the best clips online; you can ask us to remove yours at any time (legitimate interest)

We do not sell or rent your personal data to anyone.
4. Third-party services
We pass only the information that is strictly necessary to trusted partners who help us run the site and the club. These include:

Each partner is required to safeguard your data and use it only for the agreed purpose.
5. Cookies
We place a few cookies to make the website work and to understand how visitors use it. Essential cookies cannot be switched off. Analytics and marketing cookies will be set only if you accept them via the banner. You can also delete cookies through your browser settings at any time.
6. How long we keep information

Contact emails and form submissions: up to 24 months after our last reply.

Merchandise orders and invoices: 7 years to meet UK tax requirements.

Newsletter list: until you unsubscribe.

Voicemails: normally 12 months unless you ask us to erase them sooner.
When the retention period ends we securely delete or anonymise the data.
7. Your rights
Under UK GDPR you can:

ask for a copy of the personal data we hold about you

8. Security
We use HTTPS encryption, firewall-protected servers and industry-standard payment processors. Staff members receive data-protection guidance... yes, even Bob the Bucket.
9. International transfers
Some service providers (for example Open stage) store data in the United States. Where that happens we rely on Standard Contractual Clauses or other recognised safeguards to keep your information protected.
10. Changes to this policy
We may update this notice from time to time. Any major changes will be highlighted on the homepage and the latest version will always be published here with a new effective date.
